5 AI Prompts for Clearer Customer Replies in a Small Business

A customer asks for a price while another wants an update on an unfinished job. When you run a small business, replying clearly can take as much effort as doing the work. AI can help draft a response, provided you supply the facts and review the message before sending it.

These five original templates work as starting points for a repair shop, a designer or another service business. Replace every bracketed field. Remove customer names, phone numbers, account details and other private information that the task does not need.

1. Answer an enquiry without guessing

Write a friendly reply under 90 words to this enquiry: [anonymised message]. My confirmed services are [list]. My opening hours are [hours]. Answer only from these facts. If a price or availability is missing, ask one clear question instead of inventing it.

2. Explain a quotation

Turn these confirmed quotation details into a clear customer message: [work], [labour], [materials], [total], [validity period]. Explain what is included and excluded. Preserve all amounts exactly. Do not add a discount, warranty or payment term.

Recalculate the total yourself. If a repair still needs diagnosis, say so before offering a final price.

3. Communicate a delay

Draft a brief update about [job]. The confirmed reason for delay is [reason]. The next update I can commit to is [date/time]. Apologise once, explain the next step, and do not promise a completion date I have not confirmed.

4. Respond to a complaint

Write a calm reply to this complaint: [anonymised details]. Confirmed facts: [facts]. Our actual policy is [policy]. Acknowledge the inconvenience, ask for the missing information needed to investigate, and do not invent a refund approval or blame the customer.

5. Follow up without pressure

Write one polite follow-up about a quotation sent on [date]. Ask whether clarification is needed. Keep it under 60 words, avoid urgency tricks, and make no claim that the price or offer is expiring unless stated here: [confirmed terms].

Check the message before it leaves

Read names, figures, dates and promises line by line. Remove wording you would not naturally use. A useful draft should make your meaning clearer while leaving business decisions with you.

Google advises users to double-check AI responses because mistakes are possible. That applies to an ordinary customer reply as well as a research answer.
